At the very bottom of this page, you will find the button: REGISTER NOW.
However, before you commence your registration, please note the following:
- Please have your credit/debit card with you, ready to use. Only credit/debit cards supported by Global Payments are accepted. The logos of accepted major cards will be displayed on the payment/transaction page.
- Please have the PaperCept ID of your accepted paper(s) with you (if applicable).
- In case of any difficulty encountered during the registration please email us at ICVES2025@gmail.com.

Registration Inclusions
Full Registration：
- Upload of accepted conference papers to PaperCept (1 paper only). The upload of each additional paper requires a separate full registration.
- Link to the downloadable Conference Proceedings including PDF files of all conference papers
- On-Site attendance at all Conference sessions
- Morning and Afternoon Refreshments on each Conference Day
- Lunch on each Conference Day
- Conference Dinner attendance
Student Registration:

Note: Student registration does not provide an opportunity to upload the accepted paper(s). To do that, the Full Registration option must be selected instead and paid well before 8 September 2025. Consequently, the student registration will be made available from 9 September 2025.
Registration Fees
All registration fees are listed in British Pound Sterling (GBP) and are inclusive of the 20% UK Value Added Tax (VAT).
Online attendance is not available. Live streaming and/or video streaming of conference sessions will not be available.

Conference Registration Procedure
- Registration will commence on 18 August 2025. To register, please have ready:
- Your Credit/Debit card information (Please note that only cards supported by Global Payments are accepted by the registration server); and
- PaperCept ID of your accepted paper(s) you wish to upload after the registration fee(s) is/are paid for.
- Before you proceed with payment of the registration fees, you are strongly encouraged to read the Registration Policy Notes below.
- Please pay your registration fee first. The Organisers will then check the correctness of the payment. In case of any underpayment/overpayment, the Organisers will contact you to rectify those. Please note that the fee checking process may take several days. Only then will you receive an email with the voucher code needed to upload the final version of your paper(s) to the PaperPlaza.
- Please note that the final paper upload submission deadline is 8 September 2025. Thus, please consider registering for the conference as early as possible from 18 August 2025 and at least several days before 8 September 2025 – to allow sufficient time for fee checking and voucher code sending – if you wish the final version of your paper to be included in the Conference proceedings. Registration Policy Notes
- A Paper Upload: The Conference Full Registration fee must be paid first to enable the upload of your accepted paper(s) as per details in tables above. If more than one of your papers is accepted, a full registration fee must be paid for each additional paper.
- Page Limit: Submissions consisting of up to six pages are accepted. Additional two pages are permitted for an additional fee, as shown in the registration table above. This page limit (6+2 pages) is hard limit. Longer submissions will not be accepted.
- No Conference Day Registration is available.
- Registration & Payment Method: On-line registration & on-line credit/debit card payment is the only registration & payment method available. No internet banking nor EFT is available.
- Student Registration: A single student registration does not allow the paper upload.
Please send an appropriate student proof (ID, letter of confirmation) to ICVES2025@gmail.com. The Organiser reserves the right to check for student proof before providing you with a link to the Conference Proceedings. The Student Registration will be made available from 9 September 2025. - Credit/Debit Card Types: Only major Credit/Debit supported by Global Payments are accepted. The logos of accepted major cards will be displayed on the transaction page.
- Registration Fee Details: All registration fees are listed in British Pound Sterling (GBP)
- Registration site: Once you are ready, please click on the REGISTER NOW button/link below, to complete the registration fee payment process.
- Paper upload to PaperCept: After you complete your registration process in full, the upload of your paper(s) to PaperCept will NOT be automatically enabled. There will be a manual process of fee checking and issuing a voucher code, which may take several days. You must upload the final version of each of your paper by 8 September 2025.
- No-show Papers: Papers that are not presented at the conference are very disruptive to a conference program. Any accepted paper that is not presented at this conference is at risk of not being published in the conference proceedings.
If the primary paper author is unable to attend, please arrange a co-author or other colleague to present the paper. - Refund Policy: Any cancellation is associated with significant costs to the conference organisers and might conflict with the paper submission policy. For these reasons, a 14–day cancellation deadline will apply, as stipulated in the University of Warwick’s Terms and Conditions.

Limitation of Liability in relation to IEEE ICVES 2025
The IEEE-ICVES 2025 reserves itself the right to cancel ICVES 2025 without notice or compensation in the event of any delay, default, failure or cancelation of implementation of any deliverable to or for the ICVES 2025 which has been caused, directly or indirectly, by any incident of “force majeure”.
For the purposes hereof, the term “force majeure” shall include but not be limited to the following:
- Any act of nature such as fire, earthquake, hurricane, flood or adverse weather conditions;
- Any strike, or other industrial action of any kind;
- Unavoidable breakdown or destruction of virtual communication facilities or equipment including Power failure;
- Any failure of the ICVES 2025 service providers to fully carry out their obligations towards the ICVES 2025 Organiser;
- Any failure of communication platform used by ICVES 2025 for the purpose of enabling remote access to ICVES 2025 pre-recorded video presentations;
- Terrorist attack and/or a Cyber attack;
- Promulgation of any relevant legislation or regulation by local or national government;
- Any geopolitical and/or geostrategic development at the conference destination, or its surroundings, deemed to have an adverse effect on participants’ safety.
- Any occurrence of any nature which renders it reasonably necessary for the ICVES 2025 Organiser to cancel the ICVES 2025 conference.
In such cases, the ICVES 2025 Conference Organiser is freed of all responsibility and no reimbursement of the payments made directly to the ICVES 2025 will be arranged.

Visa / Acceptance Letter Instructions
For Authors
If you are a paper author, you can find the template in your author workspace on the PaperCept system, by following the following steps:
- Click the link to open the ITSS Conference Management Page: https://its.papercept.net/conferences/scripts/start.pl
- Under “Conferences in 2025, ICVES 2025”, click “login” in the far-right column to sign on your access page by using your PIN and password.
- Go to “Access a workspace” in the bottom of the page and click “Author or proposer of submission ….”. You will see your accepted paper(s).
- In the far-right column, use pull down menu “Choose an option” to select “Request an acceptance letter”.
- Follow instructions on this page to fill in your personal data and download your letter in pdf signed by the General Chair.
